Privacy Policy

Last updated: 22 September 2026

Overview

This Privacy Policy explains how the Vice President’s Office, United Republic of Tanzania (“we”, “us”, “the Secretariat”) collects, uses, and protects information through the official COP12 Tanzania 2026 website (cop.vpo.go.tz) and its companion mobile application (“the App”), made available on the Apple App Store and Google Play. COP12 is the Twelfth Conference of the Parties to the Nairobi Convention, held 6–9 October 2026 in Dar es Salaam, Tanzania.

By registering for the conference, or by installing and using the App, you agree to the collection and use of information as described in this policy.

Information we collect

When you register to attend COP12, we collect:

  • Full name, title/designation, and institution or organization
  • Country and telephone number
  • Email address
  • Participant category and type of participation (delegate, observer, speaker/panelist, exhibitor, or side-event host)
  • A passport-style photo, used to print your conference badge
  • A photo of your national ID or passport, used to verify your identity at check-in
  • For exhibitors and side-event hosts: exhibition or session details and, where applicable, invoice/billing information

If the App requests camera or photo-library access, this is used solely to let you capture or select your badge photo and identification document during registration — nothing is captured in the background, and we do not access your camera or photos for any other purpose.

We also automatically log standard technical information (such as IP address) when you interact with our registration forms, used only to protect the service from abuse (for example, rate-limiting excessive submissions), not to track individual browsing behaviour.

How we use your information

  • To process and confirm your conference registration
  • To print your conference badge and verify your identity at check-in
  • To generate and email invoices for exhibition and side-event fees, where applicable
  • To send you registration confirmations, updates, and a link to confirm your participation
  • To respond to messages you send through the site (e.g. to a secretariat desk, or a general suggestion)
  • To compile anonymized attendance statistics for planning and reporting purposes

We do not sell, rent, or trade your personal information to third parties.

Who can access your information

Your registration details are accessible only to authorized COP12 Secretariat staff who need them to plan and run the conference (registration desk, protocol, logistics, and technical support). We do not share your information with any other organization, except where required by Tanzanian law.

Data storage and security

Registration data is stored on servers operated by the Vice President’s Office. We apply reasonable technical and organizational measures to protect your information, including access controls restricted to authorized administrators and rate-limiting to prevent automated abuse.

No method of electronic storage or transmission is 100% secure; while we work to protect your information, we cannot guarantee absolute security.

Data retention

We retain registration records for as long as reasonably necessary to administer COP12 and to satisfy any related legal, reporting, or archival requirements of the host government. You may request that your data be corrected or removed by contacting us using the details below.

Your rights

You may contact the Secretariat at any time to:

  • Request a copy of the personal information we hold about you
  • Correct inaccurate or outdated details on your registration
  • Request deletion of your information, subject to any legal or reporting obligations

Children's privacy

COP12 registration and the App are intended for adult conference delegates, exhibitors, and professional participants. We do not knowingly collect information from children.

Changes to this policy

We may update this Privacy Policy from time to time, for example to reflect changes to the registration process or applicable law. The “Last updated” date above will reflect the most recent revision. Continued use of the website or App after changes take effect constitutes acceptance of the updated policy.
